Memovox is a video guestbook hire service based in Berwick, Victoria. This policy explains what personal information we collect, why we collect it, how we store it, and your rights. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
What we collect
Booking details. When you book a kit, we collect your name, email address, phone number, delivery address, and event date. We need these to deliver your kit, collect it, and stay in touch about your booking.
Payment information. Payments are processed by Stripe. Your card details go directly to Stripe; we never see or store your card number. Stripe’s privacy policy is available at stripe.com/au/privacy.
Contact messages. If you use our contact form, we collect your name, email address, phone number, and message so we can respond.
Guest recordings. The heart of our service. Your guests record video messages on the hired kit. These recordings contain the images and voices of your guests. We treat them as confidential and handle them only to produce and deliver your final videos.
How we handle guest recordings
Recordings are transferred from the kit to our systems for processing. During processing they are stored on our local computers and in our Google Drive account, which is protected by access controls.
We deliver your recordings to you, and only to you. We do not share, publish, or reuse recordings unless you ask us to (for example, if you order a social media reel or a microsite).
If your package includes a personalised microsite, the recordings you choose are hosted on that microsite for 1 year. Microsites are not listed in search engines. Anyone with the link and password can view them, so share the link only with people you trust.
Retention. We keep a backup copy of your recordings for 30 days after delivery, in case you need them re-sent. After 30 days we permanently delete them from our systems. If you want them deleted sooner, email us and we will delete them within 5 business days.
Your responsibility as host. You should let your guests know their messages are being recorded and will be given to you. The instructional sign included in the kit helps with this.
Analytics and advertising
We use Google Analytics to understand how visitors use our website. Google Analytics collects anonymised usage data through cookies. We may also use the Meta (Facebook/Instagram) pixel to measure our advertising. See our Cookie Policy for details and how to opt out.
Who we share information with
We share personal information only with the services we need to run the business: Stripe (payments), Google (Drive storage, Analytics), Meta (advertising measurement, if active), and our hosting provider. We do not sell personal information to anyone.
We may disclose information if required by law.
Storage and security
Our systems are protected by passwords and two-factor authentication where available. Booking records are kept for as long as needed for tax and legal purposes. Recordings follow the 30-day deletion rule above.
Your rights
You can ask us at any time to access, correct, or delete the personal information we hold about you. Email hello@memovox.com.au and we will respond within 5 business days.
If you believe we have mishandled your information, contact us first so we can fix it. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au).
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date of the last update at the top.
